Manage who has access to your workspace, what type of license they hold, and whether their account is active.

Overview

The Users page in Workspace Management lists every member of your workspace. From here, owners and admins can filter users by status, type, or role — and perform actions like changing license types, adjusting roles, deactivating accounts, or transferring workspace ownership.

Each user has a license type that determines their level of access, and a role that defines their permissions within that access level. License type always takes precedence: a user with an Administrator role but a read-only license is still read-only.

Regular

Full access to all functionality permitted by their role.

Counts toward your subscription seat limit.

Read-only

View entities they have access to and leave comments on test cases, defects, and test case reviews. Cannot create, modify, or delete anything.

Counts as a read-only seat (separate from regular seats on most plans).

Billing

Access only the Workspace Billing section — subscription, invoices, and payment methods. No access to projects or test data.

Free — does not count toward any seat limit.

You cannot directly invite someone as a billing user. Instead, invite them as a regular or read-only user first, then convert their license type.

Viewing and filtering the user list

The Users page shows each member's status (active/inactive), license type, role, role title, and last activity timestamp. Use the filters at the top to narrow by:

  • Status — Active or Inactive

  • Type — Regular, Read-only, or Billing

  • Role — Owner, Administrator, Member, or any custom role

Managing a user

Select the actions menu (three dots) on any user row to:

  • Convert license type — switch between Regular, Read-only, and Billing

  • Deactivate / Reactivate — suspend a user's access without deleting their account; reactivate when needed

  • Edit settings — change their name, role title, or assigned role

  • Transfer ownership — available only to the current owner, and only for regular-license users

Deactivation vs. deletion

Qase uses deactivation, not deletion, for user management. A deactivated user loses access immediately but their historical data (test results, comments, assignments) remains intact. If you need to permanently remove a user, contact support.

FAQ

Can I bulk-invite users?
Yes — the Invites page supports bulk invitations. You cannot bulk-convert license types; that must be done per user.

How do I free up a seat?
Deactivate the user or convert them to a billing user. Both actions release the seat immediately.
